What happens if it rains?

In the event of bad weather - which might include rain, strong winds, extreme heat, smoke etc - firstly we strongly encourage an indoor contingency plan.

We can absolutely set up indoors and really love the atmosphere that an indoor picnic creates.

If you need assistance with finding or deciding on a weather plan, please let us know.

If the event is moved indoors, the cost of any equipment unable to be used (such as the bell tent) will be refunded.

If an indoor contingency isn’t available, the decision to cancel the event must be made at least 48hrs before the event and then your deposit is forfeited but the remaining cost of the picnic is refunded.

How do I book?

You can book by emailing us at A non-refundable deposit of $150 (or $50 for Couple's Picnics) is required to secure your booking with full payment due 14 days in advance of your event date. If you book within 14 days of your event we will require upfront payment in full. A security bond of $100 is required along with final payment to cover any potential damage, loss of equipment or extra cleaning that may be required. This bond is fully refundable upon satisfactory collection and inspection of all equipment after the event.

Can I book and pay online?

To book, please contact us at to discuss available dates and exactly what you would like for your event. Once you're ready to go ahead, we'll send you an invoice for a desposit to secure your booking. Our preferred method of payment is via direct funds transfer, however Paypal or Credit Card payment is available.

How many hours are included in the package?

You can find this by clicking the 'INCLUSIONS' button on any of our packages. Most of our packages are for up to four hours daytime hire with the event to finish by 4pm or 6pm during daylight savings. Our at-home packs are for delivery to your door one day and collection the next at a mutually available time. Our Sunset and Sun & Moon packages are for evening events (pack up after-dark) or overnight hire on private property, with set up and pack up times subject to availability. If you'd like to picnic for longer than your selected package, get in touch to discuss options.

What if I need to cancel?

Well now that would be a shame! You can reschedule at no additional cost, with all amounts paid rolled over to the new booking. Unfortunately if you cancel completely you will lose your initial deposit if you cancel more than 7 days before your event or you will lose the full cost of the booking if you cancel within 7 days of the event. Any refunds provided outside of these terms are at the complete discretion of Fox Meets Bear Events.

How many guests can you accommodate?

There's no picnic too big or small - we can cater anywhere from a couple to a group of 100. If your party is larger than that, we've got lots of ideas and options on how we can accommodate a bigger group, so just get in touch!

Can our pets come too?

As much as we love our furry friends we're afraid we don't allow pets to play on the picnic set-up nor inside the tent.

Do I need a permit to pitch the tent in a public park?

Yes! But you won't have to worry about a thing. Just give us two weeks notice to process the approval and we'll sort this one out on your behalf. It's all part of the service!

How much space do I need to set up the tent?

The bell tent requires approximately 7 meters round space to set up, this includes 4.5 metres tent space plus the guy ropes.

Can I put heating in the tent?

We know Canberra can get mighty cold in our cooler months, but putting any heating inside our tents can prove dangerous and may result in burning of the tent...eek! In our cooler months we provide cuddly blankets to snuggle up with, fix the tent walls down to protect you from any breeze and as our tent is water proof, it's weather proof!

Are there bathroom facilities?

Most parks have bathroom facilities available to the public and we will only suggest the ones that do.

Is there electricity?

Generally there is no electricity for our set ups, however if you need access to power this can be provided at a cost. Let us know what you need and we'll make it happen!

Is there anything I need to bring?

We've got you pretty well covered, other than the drinks (and if you're BYOing food). We also provide drinks buckets, you'll just need to do is bring the ice!

Are you open all year round?

We sure are! Our peak season is September through to April, however at Fox Meets Bear we don't like to waste the winter sun so we're out and about popping up all year round. As we know our winter days can absolutely gorgeous, our tents are water proof and with the walls down, they can become a cozy place to picnic. But if you're worried about picnicking in winter, setting up indoors somewhere is just as fun!

Do you cater?

We don't provide catering at the moment, but we do have some great established partnerships with local Canberra businesses that do!

Do you travel outside of Canberra?

We sure do! Whether it's one of the gorgeous towns surrounding Canberra or a trip to the Southern Highlands or Coast, we can bring our beautiful picnics your way.* *Travel fees may apply

What is your COVID-19 cancellation policy?

We understand it's a difficult time to plan events at the moment and we're doing our best to be as flexible as we can. We are also very grateful for your support of our little business during this time.

If government restrictions due to COVID-19 are put in place in the ACT which prevent Fox Meets Bear from delivering your event, you will be given the option to either reschedule the event (with all amounts paid to be transferred to the new date at no extra charge) or to cancel completely and receive a full refund including deposit.
